Crew Trek Payment Schedule

Each crew is responsible to meet all financial obligations within the allotted time frame. Failure to provide on time payments will result in cancellation. Deposits are non-refundable.
Philmont must commit financial resources to employ staff, purchase food and supplies, and to prepare for summer operations. Participants are therefore, also required to make a financial commitment to attend. Please be aware of this in making reservations to avoid losing fees due to cancellations.
Cancellation/Refund Policy
We understand that sometimes unexpected circumstances arise, and plans must change. Due to the significant advance planning required for a Philmont adventure, all fees paid are non-refundable. If a cancellation becomes necessary, please notify us as soon as possible.
Refunds may be considered under the following circumstances:
- Military Deployment: 100% refund
- Death of a First-Degree Relative: 100% refund
- Medical Exclusions Upon Arrival: 50% refund or transfer to PTC program if space is available
Refund Request Procedures
- Refund requests must be submitted prior to the arrival date of your trek or PTC program. Requests received after this date cannot be considered.
- To request a refund, please email the following information:
- Participant’s name
- Crew number (e.g., 609-A) or PTC conference/adventure/program name
- Reason for cancellation and any supporting documentation
- Contact information for follow-up
- For trek refunds: email Philmont.camping@scouting.org
- For PTC refunds: email Philmont.trainingcenter@scouting.org
Once a refund request is approved, you will receive notification. Philmont submits the refunds to the National Office of Scouting America. For trek reservations, a check will be issued to the unit that made the payment. For Philmont Training Center programs, refunds are returned to the individual in the same form as the original payment (credit card refunds are returned to the card; check payments are refunded by check). Please allow 6 to 8 weeks for processing a refund.
Philmont does not refund crews for canceled flights or ground transportation and strongly recommends trip insurance.
All refunds are subject to approval by the Director of Camping and the Director of the Philmont Training Center
Scholarships
It is the vision of Philmont Scout Ranch to continue to positively impact the lives of young people and their Scouting leaders through inspiring and effective delivery of the finest Scouting possible through backcountry adventures and Training Center experiences. Philmont receives many donations from all over the country from those who have had the opportunity to experience Scouting Paradise in God’s Country and wants to share that opportunity with others.
Please complete the application below to be considered for one of the many scholarships available to our participants. There are several financial need-based scholarships available from Philmont, and others may be offered by your local council or elsewhere. Scholarship funding is limited so please apply quickly.
Please note that program deposits must be paid before scholarships will be considered.
12-Day, 9-Day and 7-Day Expeditions
Philmont offers the Waite Phillips Scholarship to help make it possible for a youth member to participate who might not otherwise be able to experience Philmont. Application forms will be sent to the Reservation Contact for each crew in October. The application is filled out by an Advisor for a maximum of one youth member per crew; if granted, awards typically cover a portion of the total program fee.
Individual Treks
A limited amount of financial assistance is available for Individual Trek participants in the Roving Outdoor Conservation School (ROCS), Trail Crew Trek (TCT), Rayado, and STEM programs. No scholarships are available for the Ranch Hands program.

Philmont Training Center
A small scholarship fund has been established to ensure that volunteers and professionals have an opportunity to participate in a summer or fall Philmont Training Center experience. (Scholarships cannot be used for DO-2 courses held at the PTC.)
